Boston Properties IT Business Support Specialist in Boston, Massachusetts

Primary Purpose of Position

Serve as the primary administrative support lead for a dynamic and collaborative IT team. Directly manage the business processes for payables, procurement and budgeting/forecasting including account management. Lead process efficiencies in BXP’s engagement with IT vendors and solution providers. Support processes and projects across IT customer services.

Essential Functions

Business Process Lead: Budgeting-Forecasting-Procurement-Payables

  • Perform vendor account management activities to support the procurement and payables processes.

  • Coordinate requests for proposals, product research and pricing analysis.

  • Support the creation and ongoing reforecast of operating and capital budgets and manage quarterly accruals and account reconciliations.

  • Lead continuous process improvements in partnership with IT vendors and solution providers.

IS Team Support/Project Coordination

  • Proactively manage projects and assignments for the CTO, CIO, and other senior IT leaders.

  • Coordinate department meetings, conference calls and events, including the annual IS Summit.

  • Coordinate the provision of services in partnership with Office Services. Serve as the liaison for all facilities management projects and/or issues.

  • Maintain departmental contract files.

  • Perform assignments in support of IS projects up to and including research, configuration work, implementation services and issue resolution. Conduct research on new technologies and services.

  • Oversee documentation of new or revised processes or workflows for the IS department.

Mobile Device Services

  • Administer support for mobile device services and serve as the primary account manager. Coordinate device purchases, implementations and deactivations.

  • Monitor usage statistics and expenses. Provide training and support to our end-users on new mobile devices.

IT Services - Other

  • Provision and/or administer support for services including but not limited to audio/video conferencing, online collaboration tools and analog lines/phones.

  • Provide support for MRI Angus including but not limited to employee property changes, work order routing rules and training.

  • Manage vendor account and relationships. Monitor usage statistics and expenses.

Training Coordination

  • Assist with the design, scheduling and/or communication of sessions for BXP Learning and BXP Talk Series. Track and manage enrollment and set up.

  • Train and support end-users on new IS devices or software.

  • 2+ years of progressively responsible administrative and end user support experience strongly preferred .

  • Excellent verbal and written communication skills. Ability to effectively interface with all levels of employees.

  • Excellent organizational skills with ability to set priorities; manage multiple projects and meet project deadlines. Attentive to detail and methodical in solving problems.

  • Demonstrated commitment to and proficiency in customer service culture. Exhibit and champion excellence in work and willingness to embrace change.

  • Possess an aptitude toward learning technical concepts. Be results-oriented and a quick learner in supporting new products and technologies.

  • Possess a strong working knowledge of Windows 10, Microsoft Teams, and Microsoft Office.

  • Ability to multitask and prioritize a heavy workload in a fast-paced, constantly changing environment is required. Demonstrated practical, hands-on, “can-do” approach.

  • Demonstrated ability to work proactively, independently, achieve results without close supervision, and also work effectively as part of a team is essential.

  • Flexibility with schedule and ability to work beyond regular business hours.

    Requirements and Qualifications

  • High school diploma or equivalent educational certificate required; a BA/BS Degree strongly preferred.

Physical Requirements

  • Involves work of a general office nature usually performed sitting such as operation of a computer.

  • Involves work of a general office nature usually performed standing such as operation of a fax and printer.

  • Involves movement between departments to facilitate work.

  • Involves lifting to install and/or relocate computers and monitors. Must be able to lift 30 lbs.

Internal and External Contacts

  • This position will interact internally with various levels of management and employees at Boston Properties and will require the successful candidate to represent Boston Properties with the highest levels of integrity and professionalism to our outside partners.

Reporting Structure

This position reports to the VP, IT Services who provides supervision and guidance, and coordinates, evaluates, and monitors work performance on a periodic basis.
